How to track customer credit limits in your CRM

Track credit limits in your CRM with the approved limit, open balance and quoted amount. Reps should see a breach when they quote, not when an order stalls.

Short answer

Track customer credit limits in your CRM with three fields on the account record: the approved limit, the open balance (current and overdue invoices) and the value of open quotes. Before sending a new quote, the rep checks all three against the limit. If the deal will exceed it, the conversation with finance happens before the quote goes out, not after shipping.

What is a customer credit limit?

A credit limit is the maximum amount a customer can owe you at any one time without paying upfront. Every B2B company that sells on payment terms has one, usually in the head of the finance team or in a corner of the ERP.

The problem is that reps usually learn about the limit when an order gets stuck, not when they quote. By then the price is agreed, the customer has a delivery date and production may already be planned.

Why are credit limits a sales problem too?

Because an order over the limit either waits or gets cancelled, and both come out of the rep's target. Finance says it protected the company, sales says it lost the customer, and both are right.

If the rep sees the limit early, there are options: split the order, ask for a partial prepayment, shorten payment terms or prepare a limit increase request for finance ahead of time. All of these are quote-stage conversations.

Which CRM fields do you need for credit limits?

Five fields on the account record are enough. Anything more will not get filled in.

  • Approved limit: The amount finance approved and the approval date.
  • Open balance: Total invoiced but not yet collected. This comes from your ERP.
  • Overdue amount: The part of the open balance that is past due.
  • Quoted amount: Total value of open deals, weighted by win probability or not.
  • Available credit: Approved limit minus open balance minus quoted amount. This field is calculated, never typed.

How do you calculate available credit?

Available credit is the approved limit minus the open balance and the quotes that are not yet invoiced. Here is a worked example.

A customer has an approved limit of $200,000. The open balance is $120,000, and $30,000 of that is more than 30 days overdue. The rep also has a $60,000 quote out with them.

Available credit is $200,000 − $120,000 − $60,000 = $20,000. If the rep is now preparing a $50,000 quote, that order is $30,000 over the limit. And because there is an overdue balance, finance will most likely refuse an increase.

When should a rep see a credit limit breach?

A rep should see a breach while building the quote. Seeing it at order entry is too late, because price and delivery are already agreed with the customer.

In practice, three alert points work well:

  1. On the quote screen, when the quote exceeds available credit.
  2. To the rep and sales manager, when the overdue amount passes your threshold.
  3. To finance, when available credit falls below one fifth of the approved limit.

Set the thresholds from your own collection history. Payment habits differ a lot by industry.

Why is credit data missing from the CRM?

Because the limit lives in the ERP, deals live in the CRM, overdue data lives in accounting, and the customer saying "we can't pay this month" stays on the rep's phone. When those four sources never meet, nobody sees the full picture.

The last one is the piece that gets lost most often. Customers mention a cash squeeze, a holiday payment schedule or a large receivable of their own that is late. If that sentence never reaches the CRM, finance only notices the risk once an invoice goes overdue.

We covered a similar gap in receivables tracking in your CRM. Credit limit tracking is the step before it.

How do credit limits affect your sales forecast?

Deals with a customer who has used up their limit are weaker than they look, even when the win probability is high. Put them in the forecast at full value and the forecast inflates.

Use a simple rule: the part of a deal that exceeds available credit sits on a separate forecast line until a limit increase is approved. That way sales and finance look at the same number. The same split is the right starting point for cash flow forecasting from CRM data.

Where do you start?

Start small. Pick the customers on payment terms who bring most of your revenue.

  1. Get their approved limits and approval dates from finance.
  2. Sync open and overdue balances from your ERP into the CRM daily.
  3. Roll up late-stage quotes on the account and calculate available credit.
  4. Open the weekly sales meeting with customers close to their limit.

After a month, count how many orders got stuck on credit. If that number is falling, it works.

What you have, what you pay, what you gain

You already have the limit, the invoice data and the deal list. They just sit in different places.

The price you pay without noticing is stuck orders, last-minute finance meetings and friction between sales and finance. Bring the three onto one account record and you make the right call at the quote stage, with a forecast closer to reality.

FAQ

Should credit limits live in the CRM or the ERP?

The source of the limit can be your ERP or accounting system. What matters is that reps see the current limit and open balance in their CRM when they quote.

Should open quotes count against the limit?

Yes, at least late-stage quotes should. Otherwise two reps can use the same customer's limit twice.

How often should credit limits be updated?

The open balance should sync from the ERP daily. The approved limit should be reviewed quarterly or whenever the customer's payment behavior changes.

Can you quote a customer with overdue invoices?

You can, but agree the terms at the quote stage: partial prepayment, shorter terms or clearing the overdue amount first. That decision belongs on a screen both sales and finance can see.

Who should approve a limit breach?

Finance should hold approval rights. The rep's job is to spot the breach early and bring it to finance with the reasoning.
