How to verify data AI writes into your CRM
Verify AI-written CRM data by tying each field to its source: a quoted sentence, a confidence level and an approver. Risky fields get approval; audit the rest.
Short answer
You verify data that AI writes into your CRM by tying every field to its source: the sentence it came from, how confident the AI is, and who approved it. Risky fields such as deal value, close date and decision maker go to the rep for approval when confidence is low. Everything else is written directly and audited weekly.
Why can AI write wrong data into a CRM?
AI interprets the conversation, and when the interpretation is off, the field is off. Most errors come from ambiguous sentences, not from the AI making things up.
These are the four situations that cause the most trouble in sales calls:
- Vague dates: Does "let's look at it after New Year" mean the close date or just the next touchpoint?
- Mixed-up numbers: Did the buyer quote the price with or without tax? Per year or per month?
- Wrong person: Three people are on the call. Is the one who says "I'll sign off" really the decision maker, or just a user?
- Wrong side: The sentence may have come from the rep, not the buyer. "We'll close by month end" can be hope, not commitment.
So the useful question is not "will AI make mistakes?" It is: who catches the mistake, when, and at what cost?
What does verified CRM data mean?
Verified CRM data means a field whose source, confidence level and approver are all on record. If one of the three is missing, the field looks filled in, but nobody can trust it.
Manually entered data has the same problem. A close date typed in on Friday evening has no source either. The difference is that AI can link every field to a sentence, while people rarely do.
Which CRM fields should never be written without approval?
Any field that drives your forecast or commission should go through approval.
High-risk fields (go through an approval gate):
- Deal value and currency
- Expected close date
- Decision maker and approval chain
- Stage changes
- Discounts, payment terms and special conditions
Low-risk fields (written directly, audited later):
- Call summary and topic tags
- Competitors and objections mentioned
- Suggested next touchpoint
- Contact detail updates
Each company draws this line for itself. Whatever field your commission plan reads is a high-risk field.
How do you link an AI-written field to its source?
You store the sentence that produced the field, along with its timestamp, right next to it. That way "where did this number come from?" takes one click to answer.
- Quote: Keep the sentence that produced the field, with its minute in the call recording.
- Confidence: The AI marks how clearly it extracted the value: high, medium or low. "Fifty thousand dollars" is high; "somewhere around fifty, sixty" is low.
- Threshold: A high-risk field that arrives with low or medium confidence is not written automatically. It goes to approval.
- Change log: The previous value is never deleted. A close date that slipped three times is data too.
How do you verify without drowning reps in approvals?
Send only high-risk, low-confidence fields for approval. Sending every field back to the rep just hands them data entry in a different costume.
Here is our own example calculation. A rep has 10 calls a day and each call yields 12 fields: that is 120 fields a day. If 5 of those are high-risk, 50 fields remain. If half of them arrive with high confidence, the rep sees 25 approvals a day.
Each approval is one tap: the suggestion, the quoted sentence and a "correct / fix" choice.
How do you audit AI-written data every week?
Pick fields at random each week and compare them to their source. The point is not to hunt single errors but to see which way the error rate is moving.
- Pick 20 random fields each week: half written automatically, half approved.
- Compare each one with its quoted sentence: correct, partly correct or wrong.
- Record the error rate by field type. If 2 of 20 are wrong, the rate is 10%.
- If a field type gets worse two weeks in a row, move it behind the approval gate.
- If errors repeat, note the pattern: is it always the same product name, the same type of customer?
This takes a sales manager about half an hour a week. In return, the "is this number real?" debate in forecast meetings gets much shorter.
What does verification give your CRM?
Verification turns your CRM from a filled-in table into a source people trust. The real gain is that decisions can rest on it.
What you already have: Sales calls, emails and meetings. The raw material for quality data is produced every day.
What you are spending: Reps' evening data entry, managers' "is this deal real?" meetings, and the context that walks out the door when a rep leaves.
What you get: A CRM where every number has a sentence behind it. Forecasts are argued less, handovers lose less, and the AI's next steps stand on solid data.
We covered how to measure data quality in How to measure CRM data health, and which fields to pull from a call in What is BANT and how AI extracts it from sales calls.
Closync AI is an AI layer that turns sales conversations into high-quality CRM/ERP data and that data into sales decisions. It extracts the data from the conversation and writes it into your CRM or ERP, without asking reps to learn CRM language.
FAQ
Does AI make things up when it writes to a CRM?
Systems that don't link fields to sources carry that risk. When every field must point to a quoted sentence, a value with no sentence behind it can't be written, and fabrication is easy to catch.
Do reps have to approve every field?
No. Only high-risk fields such as deal value, close date and decision maker go to approval, and only when confidence is low. The rest is written directly.
How do you measure the error rate of AI-written data?
Compare 20 randomly chosen fields with their source sentences each week. Divide the wrong ones by the total and track the rate by field type.
Is manually entered data more reliable than AI data?
Not always. Manually entered fields usually have no source, while an AI-written field can be tied to a sentence, which makes it easier to audit.
Do I need a new CRM to set up verification?
No. The source sentence, confidence level and approver can be added to your existing CRM or ERP as notes or custom fields.
